Manage Invoicing Processes and Product Billing Timelines

Overview: This guide explains the invoicing timelines for Dandy products and services to help practices manage financial schedules and understand when charges appear on statements.

Monthly Submission Deadlines

To include a product in the current month's invoice, users must submit the order by 6:59 PM ET (3:59 PM PT) on the last day of the month. Orders submitted after this time will appear on the following month's invoice.

Same-Day Invoicing Products

Dandy invoices products typically completed in a single appointment on the same day the user submits the case. Same-day invoicing applies to:

  • Crowns and Bridges

  • Implants

  • Night Guards and Sleep Apnea Appliances

  • Bleaching Trays and TMD Appliances

  • Physical Wax-ups and Printed Models

Milestone-Based Invoicing for Complex Products

Orders requiring multiple appointments are invoiced at specific treatment stages rather than the full price upfront.

  • Partials: Dandy invoices partials per stage of fulfillment. Dandy invoices Try-ins on the day of submission. Dandy invoices Finals on the day the user submits the request to proceed to the final stage.

  • Dentures: Dandy invoices dentures on the day the user submits the request to proceed to the final, post-feedback, or new scans. Dandy invoices Try-ins on the day of submission.

  • Aligners: Dandy invoices aligners once the user approves the treatment plan.

  • Surgical Guides: Dandy invoices surgical guides upon the completion of the review with Dandy Experts.

Canada Customer Invoicing

Customers in Canada receive an invoice immediately upon case delivery.

  • Standard Cases: Dandy invoices items like a "Crown #3" at the time of delivery.

  • Multi-Stage Cases: Dandy invoices items like "Upper Denture - Wax Rims" with the final case delivery.

  • Aligners: Dandy delivers all trays to the office with an invoice for the total treatment cost.

  • Monthly Statements: Canadian offices also receive a monthly summary invoice containing all completed cases, carryover credits, or remaining balances.

Complimentary Model Inclusion Policies

Dandy includes models at no additional charge for specific products under the following conditions:

Cancellations, Holds, and Remakes

  • Order Cancellations: Dandy does not bill orders cancelled before they enter the fabrication stage. If a user cancels an order during fabrication or shipment, Dandy bills the full case fee.

  • On-Hold Orders: Orders on hold when invoices are finalized will not appear on that month's statement. Dandy will include the charges once fabrication resumes.

  • Remakes: Dandy adds a remake fee if the user requests a change to the original shade or material.
