This guide outlines creating and managing staff profiles within your practice's Dandy Portal. Creating profiles for various staff members, including additional doctors, dental assistants, hygienists, and administrative personnel, is essential for efficient case management. These profiles also allow individual staff members to create and maintain their own Portal login information.
Importance of Staff Profiles
- Purpose: Staff profiles allow individual team members to access, customize, and utilize the Dandy Portal, making it a valuable tool for case management. They also allow each individual to create and maintain their own Portal login information.
- Note: The account owner controls and sets staff admin rights.
- Recommended Profiles: We strongly suggest creating profiles for every staff member who needs portal access, enhancing team coordination and portal efficiency.
Creating Staff Profiles
Step 1 - Access Account Settings
- Navigate to 'Account settings' by clicking the gear in the top right corner of the screen.
- On the drop-down menu, select 'Staff'
Step 2 - Add New Profiles
- On the 'Staff' page, click on the green button in the upper right corner, 'Add new staff member' to add a new staff member.
Step 3 - Complete Profile and Set Permissions
- For the staff member, fill out the name, mobile number, and email address they will use to login manage cases with Dandy.
- Note: An invitation email will be sent to the listed address for each staff member. This email will walk the staff member through the process of setting up login credentials. The steps for this process are outlined later in this article.
- Assign administrative rights
- Note: This will give the staff member permissions to manage practice settings
- Select their position in the office to personalize their portal.
- Select 'Send invite', which will send an email to the staff member to confirm and create their profile.
Email Invitations and Setting Login Credentials for Staff Members
Once a staff member's email is associated with their Portal profile, that individual staff member will receive an invitation email, asking them to create their Portal login credentials.
Step 1 - Access invitation email
- Access the invitation email sent to the email you provided for your profile.
- Click the 'Join [Practice Name]' button to proceed.
Step 2 - Create login credentials
- Choose a password to be used when logging into Portal from your profile.
Step 3 (optional) - Add mobile phone number
- If desired, add a mobile phone number to your profile as an alternative login. Enter the subsequent confirmation code when prompted.
- If you do not wish to have the option to login via a mobile device, click the 'Skip for now' link.
Step 4 - Login to Portal
- With your login credential set, login to Portal using your email and password and/or mobile number and confirmation code.
Managing and Updating Profiles
Step 1 - Navigate to the 'Staff' page
- Navigate to 'Account settings' by clicking the gear in the top right corner of the screen.
- On the drop-down menu, select 'Staff'
Step 2 - Edit Profile Information
- Click the pencil icon next to each profile to edit any details.
- Click the trash can icon next to each profile to delete a profile.
